Bounce Management

The purpose of Bounce Management is to allow you to specify the rules that handle the processing of replies to a message that you have sent. All new Etelligent installations have a set of standard Bounce Management Rules. We would suggest that you do not delete these, since the represent the minimum level of filtering we would recommend. However, please review them to ensure that they meet the needs of your organisation.

What Bounce Management Rules Do
Even the cleanest email list will have Bounces from time to time. The intermittant nature of computers ensures that -- at some point -- something, somewhere, will break. This "something" might be the destination mailserver, a DNS server, or maybe even a physical Internet connection.
Common Bounces include the many standard mailserver responses to indicate delays or failures in delivery. The fact is, users go away, their mailboxes fill up and reject new mail, and people, mostly techies, break stuff. Your Bounce Management Rules can be customised to account for almost any variable, and told what action to take.
How Bounce Management Rules Work
Your Rules are contained within blue-bordered boxes and they are executed sequentially upon each incoming email. Each Rule is made up of two parts: first, the Condition (what Etelligent should look for in the incoming email); secondly, the Action (what Etelligent should do if the Condition is met).
In the above example we have a Rule with 1 Condition and 3 Actions. We could write the logic for this rule out longhand, thus:
If the incoming email's subject line contains the word "Unsubscribe" THEN Unsubscribe the contact from all future sends |
Adding Bounce Managment Rules
1. To add a Bounce Management Rule, click the "Add Rule" button at the very end of the page containing your Rules.
The first part of making a new Rule is defining the Condition (or Conditions) that must be met in order for the Rule to be executed, and Etelligent take you straight to this screen that does this:
Check the radio-button next to the corresponding Condition that you wish to use and click the "Submit" button.
You new Rule be added at the very bottom of the list, and you should see you new Condition added. At this point you could define additional Conditions for your Rule. It makes sense to group related Conditions that all require the same Action;for example trying to account for individual's replying to your email with various permutations of "unsubscribe" in their subject line. Variations such as "remove" -- or even different languages variations if that is appropriate for your recipients -- can be group as Conditions.
The next step is to add the Actions that Etelligent will take when your Conditions are met. To do this, click the New Action hyperlink inside your Rule.
You can combine as many Actions inside your Rule as you require.
Note: You can add the Actions named "Discard the message" and "Stop processing rules" to your Rule to prevent Etelligent executing subsequent Rules against an incoming message. Remember to ensure that your Rules are ordered logically.
Your completed Rule should have at least one Condition and one Action.
Re-ordering Bounce Management Rules
On the right-hand side of each Rule's box are an up-arrow and a down-arrow; use these to re-order your rules to suit your needs. The order of your rules is important as they are executed sequentially, so beware putting "stop" Actions in rules if you need subsequent rules to also be executed.
Editing Conditions and Actions
You cannot edit Conditions and Actions inside a Rule; instead you must delete them and then recreate them.
Deleting Conditions and Actions
To delete an existing Rule, you should check the radio-button next to the particular Condition or Action and then click "Delete Selected Condition" or "Delete Selected Action" as appropriate.
Deleting Bounce Management Rules
To delete a Bounce Management Rule, click the "Delete Rule" text on the far right-hand side of the Rule's box. You will receive a confirmation request before the Rule is deleted.
